Position Summary

The Project Coordinator is responsible for supporting the execution of our high-impact community outreach initiatives and corporate events. This role is responsible for synchronizing complex logistics of outreach campaigns and mobile engagement events for our clients to ensure every initiative delivers positive outcomes for our clients in the communities we serve. 

Primary Responsibilities

Project Coordination: 

  • Support Account Executives and Senior Leadership in the end-to-end lifecycle of outreach campaigns and corporate events as assigned, coordinating with site leads, and managing project timelines. 
  • Support inventory management and organization of outreach materials, branded assets, and event supplies to ensure readiness for upcoming activations. 
  • Help identify opportunities for process improvement and operational efficiencies across outreach campaigns and community engagement initiatives. 

Logistics Coordination:

  • Direct the preparation and distribution of educational materials, screening tools, and promotional items tailored to initiatives .
  • Support the logistical planning for our mobile engagement and community outreach initiatives, ensuring all materials (educational pamphlets, screening tools, and promotional items) are prepared, properly labeled, and delivered for community events. 
  • Support the deployment of mobile units as requested. 
  • Attend and participate in events as requested. 

Stakeholder and Team Management:

  • Lead and mentor Brand Ambassadors and Community Health Workers ensuring they are equipped to act as trusted resources between the community and our partners. 
  • Assist with Brand Ambassador training as needed. 
  • Serve as a point of contact for clients, government agencies, and non-profits as needed.

Documentation & Reporting:

  • Maintain accurate project documentation, including meeting minutes, status reports, and data collection from field events to help measure the impact on health outcomes. Provide project updates to key teams to ensure alignment. 
  • Evaluate completed events and projects to identify deficiencies in implementation; support restructuring as needed. 

Cultural Insights: Contribute to the “Ideation and Brainstorming” process to ensure our strategies remain culturally relevant and linguistically appropriate for the communities we serve. 

Administrative Support: Assist with the management of project budgets and expenses, and other duties as assigned. 

  • Attendance and participation in all meetings as required 
  • Accurate note-taking during client calls and internal team meetings 

Required Qualifications

  • 3-5 years experience in project coordination, event planning, or community outreach. 
  • Strong organizational skills with the ability to manage multiple moving parts simultaneously. 
  • Ability to possess a “servant leader” mindset with a deep commitment to the communities we serve. 
  • Ability to travel and participate as needed in events, leading by example and setting the standard for junior staff and brand ambassadors. 
  • Strong and effective communications skills. Fluency in both Spanish and English is strongly preferred. 
  • Willingness to learn new softwares (Excel, Word, PowerPoint, etc). 
  • Proficient with Google Suite (Gmail, Docs, Sheets, Forms, etc.).
  • Experience working with internal cross-functional project teams. 
  • Strong attention to detail and organization. 
  • Ability to multitask and prioritize projects while producing quality work under tight deadlines. 
  • Ability to maintain professionalism in a fast-paced environment. 

Education

A degree in business, marketing, community engagement, or related field preferred but not required.   

Physical Requirements

  • Prolonged periods of sitting at a desk and working on a computer. 
  • Dexterity of hands and fingers to operate a computer keyboard, mouse, and other office equipment. 
  • Visual acuity to read computer screens, documents, and detailed information. 
  • Ability to communicate verbally and in writing. 
  • Ability to stand, walk, bend, and reach to access files and office supplies. 
  • Ability to lift and carry objects weighing up to 40 pounds.
